    PROMO REGISTRATION
    Q: Are we automatically registered for the AA bonus miles (or Hyatt promo)? Clicking on the T&C link goes to a PDF file with the following line: [ ] Yes, register me for the American Airlines Mega Miles promotion!
    but there's no link or registration code to register. Also, is it retroactive to 9 October once we're registered?

    A: Yes. We made a decision to make life easy for all participants and both American AAdvantage and Hyatt Gold Passport are working with us for an "auto-enroll" system for both bonus promotions. And, we realize that some may have made errors in entering their correct AAdvantage/Hyatt numbers (hurry, hurry to get that seat reserved) during the registration and again, you don't have to worry there either as we are sending AAdvantage/Hyatt your name and email address to match and verify the correct membership numbers for the promotion. And you are correct in assuming that the AAdvantage bonus and Challenge is retroactive to October 9 for travel on American Airlines qualification.

    PASSPORT REQUIREMENT
    Q: Wondering can you clarify for me, if I am getting one but do not currently hold it, can i fill in whatever info then and edit it out later or do you want valid at time of booking?

    Also what is it being used for other then proof of citizenship? I am not a US born citizen and has caused problems for me in the past. If they scrutinize country of origin I would like to know beforehand.

    A: Let's try the answer in several parts. The first answer is YES, you can fill in the information later on and it is not necessary to actually confirm a booking. The passport was an absolute requirement in SMD3 (Star MegaDo 3) when we entered Canada. There are two concerns which we want to address in using a passport requirement. First obviously is ID acceptable to the TSA. As we know, this one document for sure will be 100% acceptable by the TSA for passage through security and access to the aircraft. It eliminates questions about what documents are acceptable (National ID cards, etc.) and gives us clear definition in the event that a person is denied passage though TSA. It also covers us in the event that for some reason we have to divert the aircraft to another country (i.e. Canada since it is so close to Seattle) in which case we don't have to leave everyone on board the plane. And it helps us in case there are certain activities in the program which we find out later on are restricted to U.S. citizens only, etc. There are any number of things that may come up and we want to be better prepared to respond to those in real time with the information we have.

    The information will really only be used to make sure that you are prepared to fly along and get though TSA security. We actually have no plans to actually look at your travel documents or send the information along to anyone else at this point. If anything changes relative to that—each person will be apprised of that and the reason for the information use.

    SEAT SWAPS
    Q: I tried to book a seat near someone else and did not get it. How can I switch seats?

    A: Good question. We're certainly aware that the popularity of the OWMD did make for displaced opportunities to sit near others you might have hoped to sit next to. As veteran frequent flyers, we know how this works ... a simple tap on the shoulder and a quick doe-eyed explanation about a seat swap not always, but many times can get it accomplished. Actually, here's a suggestion. Identify where your seat is and hover around those seats in the immediate area and with months to go before flight time, just inquire to their online name (most likely flyertalk/milepoint) via a PM/Conversation and see about a simple seat swap. This is a very friendly group and you may find a friendly receptive reply. If so, please notify the organizers of the OWMD so we can verify and update the seat map of any changes. Remember that the flight is but one part of the actual OWMD and if you aren't able to complete a seat swap, there's plenty of other time to be around others you know personally during the programs. As for what might be used as an enticement to ensure a seat swap? That list is far too long to post here ...

    REFUNDS FROM BOOKINGS
    Q: Refunds from bookings occur in two or more situations: waitlist not cleared, actual cancellation or something beyond our control for the actual Charter to fly.

    A: The terms for cancellations are actually spelled out in the terms and conditions of the Charter itself and those terms are here. Basically the terms state that if you cancel 45 or more days before departure: you are entitled to a refund of $100.00, within 44 days before departure a refund of $0.00. However, let's be more relaisitic. This is a popular event and there is a burgeoning waitlist so we can with some certainty be able to exchange your seat with another waitlist hopeful and ensure a full refund to you until about 30 days in advance of the Charter flight, let's say until January 1, 2012—minus a $50 administrative fee. Refunds will be made within 14 days of receipt of your notice of cancellation. Such refunds and substitutions are subject to acceptance by FTEF. Except by way of such acceptance, tickets are non-endorsable and non-refundable.

    After commencement of travel, no changes, substitutions or refunds on any portions of tickets may be made.

    GOOD SEAT / BAD SEAT
    Q: I tried to reserve a Tommy Class seat but was assigned an Economy Class seat. What gives? I'm not that comfortable in the middle seat i ended up with. Who do I talk to to change to a better seat?

    A: Let's answer the first question ... first. When we saw that the open registration was headed for an immediate sell out, we closed registrations and at the time there were 12 unsold seats, all middle seats or window in the rear row. What we did was take all those who were overbooked (because of the way PayPal was working, some were allowed to double and triple book a seat) and sorted out their unique ID based upon the time stamp of that ID. We picked the first 12 and assigned them in order to whatever seats were left—middle as noted above—with the thought that it was more likely that they wanted to go and would take any seat available than to not go at all. Honestly, there is no such thing as a good seat / bad seat. The activities on board, the conversations and yes, the occasional antics make the time pass all too quickly. Now, if the assignment of a middle seat was not acceptable given the choices and the circumstances, we'll participate as best we can to find something else, but let's just be reasonable an understand—on this Charter, all seats are excellent.

    ANY OTHER WAY TO PAY THAN WITH PAYPAL?
    Q: I don't have a PayPal account, is there any other way to pay?

    A: Yes there is and we're sorry that the use of the PayPal system has caused any confusion. You actually never need a PayPal account to pay for anything related to the OWMD. At time of payment following the link, simply select the button similar to this and "Pay with your debit or credit card as a PayPal guest". It allows you to continue and in a simple manner pay with a credit card without a PayPal account—more miles.

    POSITIONING FLIGHTS / SATURDAY DEPARTURE
    Q: Any ideas on the length of the Saturday program as I want to start looking at flight connections back home?

    A: Well, the good news is that we have a full day planned of events and at this point we feel safe to say that you can make flights outbound from Los Angeles on Saturday, January 28, 2012 after 6 PM. Hope this helps. It is likely many will want to stay around for the afterglow parties that will likely spring up Saturday night and fly out on Sunday morning, January 29, 2012.

    HOTEL SPLITS / ROOM SHARES
    Q: I was going to book a hotel room but worried about the budget I've got. Any advice for seeing if I can share a room with a fellow passenger?

    A: That's a really good question and there is a thread within this forum which is designed specifically for helping you identify a possible room share. Post your interest wither is being available to share a room (you have not booked yet) or looking to share a room (you have booked a room). Good luck, good question.

    MY ACCOUNT STILL SHOWS AS NOT ACTIVE?
    Q: I'm confirmed but my account still shows as not active. Who should I contact to resolve that?

    A: You don't have to do anything. We'll contact you. Our first priority is helping everyone to their seats, firming up the program and all remaining details of this exciting trip. We have just now activated everyone that is confirmed and that now allows you to update any information in your passenger profile and we'll worry about any money owed to us later on ... so keep that Citibank AAdvantage card handy!

    NOTE: WE did not activate all accounts earlier on in case we had to rebuild the invoicing system to reflect a possible reassignment of seating if we were to adjust aircraft for the event.

    ATTENDING ACTIVITIES AS A LOCAL / NOT FLYING THE CHARTER
    Q: I wasn't able to book a seat on the Charter but live in the Dallas area. Any problem attending that part of the program? I was wondering if I can fly the TATL part of the OWMD even though I can't join you in Dallas?

    A: Both common questions and we really wish we could say yes. There are at least five different events planned and each sponsor has created a program based on the passenger count of the airplane. Given that there are transportation, security, banquet and many other issues that go along with each event, we're really concerned that opening any event up would lead to confusion and a strain on the budgets of those sponsors who are already working full-time to account for just those final confirmed for the Charter flight. The idea is a good one, but honestly the planning that goes into these is better at this point based on a finite number of attendees.

    WHAT IF I HAVE TO CANCEL?
    Q: When I booked the Charter I had cleared my schedule. But now there is talk of a new project which may prevent me from going. What is your cancelation policy?

    A: Things happen, we know. If you have to cancel, please contact any of the organizers and we'll step in to assist you in managing your refund and your replacement passenger. Refunds for canceling are referred to here. And as for a replacement, we have an anxious waitlist and we'll work with the next person on the waitlist to fill your seat if you cancel. By helping you not only with the cancelation and refund, it makes for an orderly process to ensure that the plane still leaves full and that those who have expressed a sincere interest from being overbooked get the first seat availability for any changes.

    TRANSPORTATION?
    Q: Will there be a charter bus between the events and the Hyatt hotels on the itinerary? Or will we be responsible for our own transportation of some sort?

    A: No one has ever walked that we can recall. All transportation is provided for the events and to and from the hotels. Some of this years sponsors of busses are TravelCreditCards, ExpertFlyer and milepoint.

    TRANS-ATLANTIC SEGMENT PRICING (JFK-LHR-DFW)
    The pricing details on the trans-Atlantic (TATL) segment pricing is now available for booking.

    JFK-LHR-DFW Economy Class (Booked in S class): $340 round trip + fuel surcharges and taxes (approximately $915)
    JFK-LHR-DFW Business Class (Booked in D class): $1560 round trip + fuel surcharges and taxes (approximately $2395)

    [The entire F cabin will be reserved for our group. The only way to get a seat will be to buy a seat in J, then BID successfully on an F seat. All money raised from the bidding will be donated to charity. There will be a minimum bid for an F seat.]

    To book a TATL ticket, please e-mail ed@milepoint.com. Please indicate what class of service you wish to travel in. It is permissible to travel in different classes on the same ticket.

    If you are not traveling the scheduled flights (i.e. Doing the reverse originating in Europe), please VERY CLEARLY spell out your requested travel dates.

    I will be consolidating all this info and passing it to AA for ticketing.

    The AA group desk will send an e-mail to you with the details of your reservation and instructions on how to process payment.

    If you have not heard from me 5 business days after you send your requested itinerary AND have not received correspondence from AA, start a conversation with me on MP to confirm receipt of your information.

    We STRONGLY encourage people to pay in full at the time of ticketing. Any tickets NOT fully paid at 30 days prior to travel will be cancelled with NO refund of deposit.

    Additional details on the TATL ticketing are below:
    • TATL tickets WILL accrue DEQMs.
    • There will be no upgrades (eVIPs, etc) available.
    • Fares will earn miles per normal program rules.
    • Tickets can be held with a deposit up to 30 days prior to departure. Any reservation not ticketed and fully paid for at 30 days will be cancelled with NO refund.
    • Deviations from the block only for passengers returning to Europe. All other passengers must utilize AA104/23Jan JFK-LHR and AA51 25Jan LHR-DFW to purchase under this discount agreement. Passengers returning to Europe CANNOT return on Friday or Sunday, and must return by Feb 2.

    WHAT TIME TO BE WHERE
    Q. What time are we leaving the Churchill for BA program on Tuesday?
    A. We are leaving at 12:30pm local time.

    Q. What time are we leaving the Churchill for the airport on Wednesday?
    A. We need to leave the Churchill at 6:45 am for a short activity at LHR before departing.

    Q. What time do we leave the Hyatt Regency DFW on Thursday morning?
    A. Buses will start loading at 8am local time. Buses will depart at 8:30am, which means you need to be on board at 8:20 for head count. We will be checking out of the hotel at this time and loading luggage on the buses. We will NOT be coming back to the hotel.

    BOEING TOUR REQUIREMENTS
    When we all land in SEA for the first stop on the OWMD, one of the most looked forward to events is the tous that boeing arranges for this group. And there have been some great ones (DreamCatcher, first public group to be inside a test 787, etc.). As you can appreciate, the types of tours we get are not your everyday public tours so be mindful of the following requirements:

    1. No open toe or high heel shoes (safety requirements)
    2. Boeing will advise when and where cameras are permitted
    3. One government issued picture ID required for security clearance
    4. No exceptions to the above
